Cancellation terms
We kindly request that cancellations always be communicated to us in writing with a date, via email. Unfortunately, we cannot process oral cancellations. The date on which we receive your written cancellation is considered the official cancellation date. For the calculation of any costs, we use the total booking value as stated in the most recent confirmation of your group, event, or congress.
Change in number of guests (meeting and F&B arrangements)
Up to 4 weeks before start: You can adjust the number of guests free of charge and without limitation.
Up to 2 weeks before the start: You can reduce the number of guests by up to 50% compared to the originally reserved number. Increasing is possible at no extra cost, depending on the room capacity.
Up to 2 working days before start: You can reduce the number of guests by a maximum of 10%. Increase remains possible at no cost, depending on the room capacity.
After this term: If we do not receive any changes, the originally reserved number of people will be charged.
Change room layout
If an adjustment of the room setup is needed on the day of the meeting, we will charge an additional 50% of the room rental due to the required rearrangement.
Cancellation policy – Room reservations up to € 10,000 (excluding rooms)
Free cancellation is possible until 4 weeks before commencementof the event.
Afterwards, the following cancellation fees apply:
30% in case of cancellation within 4 weeks
40% in case of cancellation within 3 weeks
50% on cancellation within 2 weeks
100% upon cancellation within 48 hours
100% in case of no show
Cancellation conditions – Room reservations from € 10,000 (excluding rooms)
Free cancellation is possible until 6 months before commencement from the event.
Thereafter, the following cancellation fees apply:
20% for cancellation within 6 months
30% for cancellation within 5 months
40% upon cancellation within 4 months
50% upon cancellation within 3 months
85% for cancellation within 2 months
100% in case of cancellation within 2 weeks
100% in case of no show
Cancellation terms – Group bookings hotel rooms (from 9 rooms)
Free cancellation is possible until 3 months before arrival.
Thereafter, the following cancellation costs apply:
15% in case of cancellation up to 2 months before arrival
35% for cancellation up to 1 month before arrival
60% in case of cancellation up to 14 days before arrival
85% upon cancellation up to 7 days before arrival
100% for cancellation within 7 days before arrival
In addition, it applies:
Maximum 3 rooms can up to 3 days before arrival free of charge are canceled.
We kindly request you to all changes and/or cancellations in writing to confirm with us.

Reservation regarding VAT increase
If during the term of this offer/this agreement/these price agreements the applicable VAT rates are increased by the government, we are obliged to charge the higher VAT rate. In that case, the total agreed price will be increased in line with the new VAT rate. This adjustment will be implemented automatically and without further notice, from the date on which the revised VAT rates apply. The price increase resulting from the VAT change does not affect the validity of this offer/this agreement/these price agreements. This reservation applies regardless of the applicability of the UVH or (other) agreed general terms and conditions. All other conditions remain unchanged and fully in force.
