Cancellation policy Van der Valk Hotel Venlo
We kindly ask you to always inform us of cancellations in writing and with a date, by e-mail. Verbal cancellations can unfortunately not be processed. The date we receive your written cancellation is the official cancellation date. To calculate any costs, we will use the total booking value as stated in the most recent confirmation of your group, event or conference.
Change in number of guests (meeting and F&B packages)
- Up to 4 weeks before the start: You can change the number of guests free of charge and without any restrictions.
- Up to 2 weeks before the start: You can reduce the number of guests by up to 50% from the number originally booked. Increases are possible free of charge, depending on the room capacity.
- Up to 2 business days before the start: You can reduce the number of guests by a maximum of 10%. Increase is still possible at no cost, depending on the room capacity.
- After this deadline: If we do not receive a change, the originally reserved number of people will be charged.
Change of meeting room arrangement
If on the day of the meeting an adjustment of the room arrangement is required, we will charge an additional 50% of the room rent due to the necessary conversion.
Cancellation policy – Meeting Room reservations up to € 10,000 (excluding hotel rooms)
- Free cancellation is possible up to 4 weeks before the start of the event.
- Thereafter, the following cancellation fees apply:
- 30% for cancellations within 4 weeks
- 40% for cancellations within 3 weeks
- 50% for cancellations within 2 weeks
- 100% for cancellations within 48 hours
- 100% for no-shows
Cancellation Policy – Meeting Room Reservations from € 10,000 (excluding hotel rooms)
- Free cancellation is possible up to 6 months before the start of the event.
- Thereafter, the following cancellation fees apply:
- 20% if cancelled within 6 months
- 30% if cancelled within 5 months
- 40% if cancelled within 4 months
- 50% if cancelled within 3 months
- 85% if cancelled within 2 months
- 100% if cancelled within 2 weeks
- 100% for no show
Cancellation policy - Group reservations hotel rooms (from 9 hotel rooms)
Free cancellation is possible up to 3 months before arrival.
Thereafter, the following cancellation fees apply:
- 15% if cancelled up to 2 months before arrival
- 35% if cancelled up to 1 month before arrival
- 60% if cancelled up to 14 days before arrival
- 85% if cancelled up to 7 days before arrival
- 100% if cancelled within 7 days before arrival
In addition:
A maximum of 3 rooms can be cancelled free of charge up to 3 days before arrival.
We kindly ask you to confirm all changes and/or cancellations to us in writing.
